The Monopolies Commission has a full-time, permanent vacancy for an administrative assistant (m/f/d) to be filled at the earliest opportunity.
Here are the tasks you can expect:
You will support the management and the academic staff of the Monopolies Commission and take on a key role in providing administrative and organisational support within the secretariat. In doing so, you will ensure that organisational and administrative processes run smoothly.
- Management and organisational support: You will keep track of appointments, deadlines and outstanding tasks, coordinate organisational processes and support the head of the secretariat in day-to-day operations.
- Event and appointment organisation: You will independently organise the preparation and follow-up of meetings, events and other appointments, coordinate participants and external contacts, and, where required, manage digital formats.
- Administrative tasks: You will check, record and track invoices, assist with stock-taking and procurement, process incoming and outgoing post, and organise business trips.
- Document and digital workflow management: You ensure a structured digital filing system, maintain shared workspaces and provide support for standardised digital workflows and compliance-based archiving.
- Digital support: You act as the first point of contact for simple user enquiries, forward IT issues to the relevant departments and, following induction, undertake simple, standardised support tasks relating to digital tools.
- Other duties: You will order and catalogue specialist literature and journals, and undertake similar organisational and administrative tasks arising from the further development of work processes.
What you’ll need:
- A completed apprenticeship as an administrative assistant or a successfully completed staff training programme, or
- a successfully completed vocational training programme as an office management assistant or in a previous vocational training programme with equivalent content (e.g. office communications assistant, Office Communications Clerk or similar) or
- equivalent skills and experience gained through many years of relevant professional experience, preferably in the reception/secretarial department of a research-oriented organisation.
In addition, we expect you to:
- Confidence in using modern digital office and communication applications, in particular Outlook, Word and Excel, as well as the ability and willingness to quickly familiarise oneself with new digital tools and specialist applications
- An open-minded approach to new digital ways of working and AI-supported applications, as well as a willingness to use these safely and responsibly following appropriate training
- Strong organisational skills and the ability to reliably manage multiple tasks, appointments and deadlines simultaneously
- A confident and professional manner when liaising with a variety of internal and external contacts; you maintain a clear overview even in the face of last-minute changes and concurrent enquiries
- An independent, meticulous and reliable approach to work, particularly when dealing with administrative and confidential matters
- A willingness to familiarise yourself with subject-specific regulations, as well as good verbal and written communication skills
- A good command of English would be an advantage

- A salary in accordance with pay grade 5 of the Collective Agreement for the Public Sector (TVöD). A salary in accordance with pay grade 6 may be possible in the future. Placement in the experience level is determined by relevant previous experience.
